A national real estate law firm automated its case data gathering and entry process, which ended the tedious “document chase” across Zillow, court records, and internal systems. By unifying external property data and legal filings directly into their case management software, we cut case preparation time by 80% and significantly reduced filing errors. The legal team now works faster and more accurately, with all case facts in one place.
Attorneys and paralegals were spending hours hunting down information for each case. They had to manually retrieve property details from websites like Zillow and pull court case updates from services such as UniCourt or Westlaw, then input all that data into their case management system (Clio). Important case information was scattered in silos, leading to delays and a higher risk of mistakes in legal filings. The heavy volume of documents and updates made it difficult to keep everything consistent, which slowed down case prep and meant clients waited longer for updates on their matters.
We built a serverless automation workflow on AWS to handle the data gathering and entry from start to finish. Now, external data sources are tied directly into the firm’s case management platform in real time. For example, as soon as new property details or court records become available, they are automatically pulled into the case file without any manual effort. We also integrated an AI component to review incoming case documents and flag inconsistencies or missing information early, acting as a second set of eyes. All case-related data is consolidated in one secure portal with strict access controls, so lawyers and staff can manage everything in one place without worrying about unauthorized access or overlooked information. In essence, the legal team now has a single source of truth that proactively brings them the facts they need, instead of forcing them to manually search through multiple websites and databases.
Case preparation that used to take days now happens in a fraction of the time – about 80% faster on average. By automatically pulling in data and checking for errors, the firm has sharply cut down on filing mistakes and the rework they used to cause. All case records are consistent and up-to-date across systems, so everyone from attorneys to paralegals is on the same page. Lawyers can get the information they need without delay, allowing them to respond to clients faster and with greater confidence in accuracy.
